If you are running Solution 7 v4.11 (or earlier), you should review Migration Phase 1 before proceeding.

Over the past 12–18 months, we have been working closely with customers to prepare you for the migration to NetSuite2.com. With Phase 1 (upgrading to Solution 7 V4.12) now complete for most of our customers, it’s time to turn our focus to Phase 2: migrating your reporting setup from the legacy data source to NetSuite2.com.

IMPORTANT REMINDER: If you became a Solution 7 customer after April 2024, you're already on NetSuite2.com, so you do not need to migrate and can ignore this guide.

Recap of Phase 1  

All active Solution 7 customers should have now upgraded to Solution 7 version 4.12. If you haven’t yet upgraded, please do so as soon as possible, as older versions (4.11 and earlier) are no longer supported.

Phase 2: Migrate from legacy to NetSuite2 data source

Now we begin the critical step to migrate your Solution 7 instance from legacy to use the NetSuite2.com data source. While the 4.12 upgrade was a linear process, Phase 2 is slightly more complex in that it requires some decision-making, testing, and understanding of your existing setup.  

Below is a structured approach to help guide you through the process:

Step 1: Understanding who should migrate

Please hold off on migrating if:

  • You are a legacy tax user who relies on Solution 7 for tax reporting.
  • You are a customer with customizations.  

If this applies to you, the Solution 7 support team will contact you directly or invite you to a dedicated webinar to migrate you on a case-by-case basis in line with your existing set-up.

If you are unsure whether or not you are currently running any customizations, please skip to Step 4 of this guide and follow the steps to check before proceeding with the migration.

Step 2: Solution 7 configuration file (basic and advanced settings)

  1. Open Solution 7 and select ‘configure’.
  2. It is important to ensure you have only one connection listed.
  3. Under the Data Provider drop-down, you should see the options for: ‘SuiteAnalytics Connect – NetSuite2.com’ and  ‘SuiteAnalytics Connect – Legacy’ (It is switching between these that will switch which data source you are using.)
  4. When switching between configuration files, we intentionally wipe your saved credentials (username, password and role ID) for security reasons. Please have these to hand when switching between your configuration files, as you’ll be prompted to re-enter.

Step 3: Sharing configuration files and changing data provider

Your configuration file is where all of your settings are stored. For organisations that are sharing configuration files, please be aware that making any changes for one person could make the changes for everyone. So, please make all changes with caution.

There are two different ways to update your configuration file from legacy to NetSuite2.com, depending on your user status:

Option 1:

If you are a smaller organisation with a small handful of easily contactable users and know that all users are running version 4.12 of Solution 7, then the easiest way to change your configuration file is to follow the steps previously demonstrated:

  1. Open Solution 7 and select ‘configure’.
  2. Under the Data Provider drop-down, select the option ‘SuiteAnalytics Connect – NetSuite2.com '
  3. Select ‘OK’ to save changes.

Option 2:

If you have a larger user group and can’t easily identify the status of each of your users, e.g., you are unsure if they are all running version 4.12 of Solution 7, or if changing the configuration file would cause any compatibility issues, then we would recommend following the steps below:  

  1. Open Solution 7 and select ‘configure’.
  2. In the system configuration window, you should take note of your configuration file name, then select ‘change file’.
  3. Within your documents, you should select the correct file, right click and ‘copy’ and then right click ‘paste’
  4. You have now made a copy of your legacy configuration file, and we recommend renaming it to include ‘NS2’ for easy identification.
  5. Re-open your system configuration file, and please make sure the selected file is the new one that you just created.
  6. You can now safely follow the steps in ‘Option 1’ to switch data providers.

Please note that you will receive a pop-up warning that this may cause compatibility issues. However, we can confidently proceed knowing that we are using a new file that we have just created.

  1. Enter your username, password and role ID and click ‘OK’.
  2. You should now be prompted to restart Excel.

Step 4: Customizations

We are asking all customers with customizations to avoid migrating for now until we contact you to support your migration. If you are unsure if you have any customizations, you can follow the steps below to find out:

  1. Open Solution 7 and select ‘configure’.
  2. In the system configuration pop-up window, select the ‘Adapters’ tab.
  3. If this screen is empty, you are not running any customizations and can safely follow the steps above to start moving to NetSuite2.com now.
  4. If the screen is not empty, you are running customizations and should hold off migrating until we contact you.

Step 5: Migrating Spreadsheets

After following the configuration steps above, Solution 7 is now pointing to NetSuite2.com, and we now need to look at migrating your workbooks or spreadsheets so that they work with the NetSuite2.com data source.

  1. Open one of your commonly used workbooks.  

It is important to note that even though we have switched to NetSuite2.com, your workbook should still continue to work upon refreshing. This is because the functions at the heart of Solution 7 are already compatible with NetSuite2.com.  

The issue comes if you ever need to refresh any of the lists that exist in your workbook. You will not be able to update these until they have been migrated.

  1. Right-click on your list cell and open the ‘List and Table Manager’.
  2. You’ll be taken to a pop-up window in which you should see a drop-down button labelled ‘Migrate’.
  3. Click ‘Migrate’ and then from the drop-down menu select ‘Migrate Workbook’. This will migrate your workbook and auto create a backup copy as well to make it easier for you to roll back to the legacy data source when needed.
  4. When prompted with the pop-up warning, select ‘Yes’.
  5. We then migrate this for you and provide a summary report. This will let you know if you’re lists have been migrated successfully or not.

Please note: If you are trying to update a subsidiary list, it will flash a warning; however, please ignore this as it has migrated successfully. This is an issue on our end, which our team is working to fix.

Step 6: Testing

Testing is critical! Please test your workbooks well in advance of running your live reports to ensure the process is as smooth as possible.

Before migrating fully:

  • Copy your existing workbooks
  • Switch the connection in the configuration
  • Run all reports and validate data accuracy
