Everyone, thank you so much for joining Zone Payments webinar. We will be going over Zone & CO's Stripe integration. To go over today's webinar, you have myself, Ellen Wintour, Enterprise Sales Representative. I'm going to hand the flow — floor — to Joe so he can introduce himself.

Hi everyone, my name is Jose Scavotto, and I run the pre-sales global solution consulting team here, so I'm happy to be here today.
Ellen:
Thank you so much for joining, Joe. Today's agenda: we will be going over Zone & Co's mission, going over Zone Payments overview, jumping into the demonstration. We will also take a look at a sneak peek of what's to come with Zone Payments implementation. We will also have a question and answer after a call, but please know this is a very interactive demo and webinar, so if you do have questions, put them in the chat, and we have our technical team members here to answer those as they come in. After that, we will have a wrap up and a sneak peek at another webinar that we will be hosting.
So let's go into Zone & Co's mission. Previously, we were known as a solution provider for NetSuite — that is no longer the case. Our focus is to bring user-friendly Suite Apps into the NetSuite space for finance teams. Some of the Suite Apps that we have for finance teams are listed here: Zone Billing, our robust billing platform; Zone Approvals, approval workflow right with inside of NetSuite; Zone Capture, OCR AP automation; Zone Reconcile, to handle all your reconciliation needs in NetSuite; Zone Payments, which we'll be focusing on today; and Zone Reporting, the only pre-built Power BI reporting solution for NetSuite.
Let's go into Zone Payments. Zone Payments will handle your Stripe payments and reconcile cash completely in NetSuite for your users. This is a native NetSuite bundle.
Let's go over why Zone & Co chose Stripe as the first provider for Zone Payments. One: Stripe is the fastest growing payment service provider in the business. Stripe supports many payment methods all around the world, and seamless connectivity — the connection that Stripe provides is top notch and the best in the business as well.
Let's go over why some of our clients love Zone Payments. One: we are easy to implement — this can be done within moments using an EP API key. So scalable — we will grow with your company; we can handle multiple payment profiles. High value — this is a very efficient product at a very competitive rate. And for all you Zone Billing customers on today's call, this solution will really complete your Zone Billing integration. We are also PCI and NACHA compliant.
Let's go over how Zone — where Zone Payments works. Sorry about that: Zone Payments will give your customers the option to pay for their transactions — inside of NetSuite online. We also handle refund automation and the ability to sync payments that weren't originating in NetSuite into NetSuite, and we also handle payout reconciliation.
So we've gone over some of the key benefits, why our customers love us, and why we trust Stripe. Let's go ahead and jump in today's demo.
Joe:
So, as I just logging into our NetSuite account, right, kind of just taking here to a native NetSuite customer record. As you can see here, we're entirely inside of the walls of NetSuite, as we are a bundle that is installed. Now, when I wanted to kick things off, there’s a number of different ways that you can actually accept payment with Zone Payments, and the four main ways that we're going to be kind of walking through today are: first is, you know, maybe a customer wants to call over the phone; the second, kind of the more popular route, is we're going to send them a native NetSuite invoice, and it's going to have a PDF link that says "click here to pay"; the third option is going to be what we call statement pay, right, which can also be provided via email or via link, but what this gives you the option is to see all of your outstanding invoices, to see all of your outstanding credit memos that you want to ultimately apply against; and the fourth and final way is to be able to automatically process this, and I'm going to walk through kind of each one of these steps individually.
So, as I'm taking to a native NetSuite invoice, what I'm going to do is kind of first walk you through what is kind of the user interface for, um, you know, your individual end users who may accept credit card over the phone, right. So, if I go in and look at the custom tab — sorry — if I go into our billing tab here, you can see here that there's this new little "payment process" button, and what this does is allows you to maybe take credit card over the phone, to be able to enter in the customer's information. Like I said, this is probably one of the more least common ways to do it, but we do give you that flexibility.
Now, the way that we see customers, you know, using Zone Payments to ultimately link to your Stripe account is to send out an email, right — send out that PDF copy of that email. Now, this email link can be embedded inside of the invoice PDF, or it could just be part of the email body field as well, and this can be completely tailored to meet your needs. Now, Ellen did mention that, you know, we do work with Zone Billing, but you don't have to use Zone Billing by any needs to use Zone Payments — as long as there's a native NetSuite invoice record, right, we can actually use Zone Payments to connect to your Stripe account.
Now, as I'm taken here to our Stripe link, right, you're going to see how Zone, right, designed a way to be able to enter in your credit card information. Now we're taking to one of our theme options here. So Zone actually ships natively with four different themes that come out of the box for you on day one. Now, this can be completely branded to meet your customers' needs, right, so, you know, "Zone Payments" isn't going to just be living up at the top — the color schemes, etc. And to give you a glimpse of some of the other ones, we do support a dark theme, as well as kind of a white with maybe a background image, and even kind of a green theme as well — really giving you flexibility and easy-to-use configuration to set this up.
Now, these are four different themes that come out of the box on day one. Now, this, like I said, could be tailored to you, but Zone Payments was really designed to be up and running, you know, within hours, if not, um, you know, within a day. All we really need to do is provide us with the Stripe API keys, and that instantly is going to get those integrations set up. Now, there's a couple other back-end setups that are on accounting fees, and I'll talk about those in just a bit, but just showing you the different ways that, you know, you can have that presented to your customer.
Now, back at the Zone Payments screen, right, I'm going to manually go through and, you know, walk you through what this looks like. Remember, we are just on an open invoice, and, as you can see, right, it support card and U.S. bank or ACH type of payments. For our European customers, we do support, uh, SEPA as well. So, if I type in, for example, you know, just a generic credit card information, right, all this detail is going to be synced directly to our, yeah, Suite instance. So — but, as you can see, we can update payment on file or visit the payment center, which I'll talk about.
Now, when I process this payment, and this is ultimately, uh, confirmed and running, right, we'll then see, when I go back to the native NetSuite invoice, when I refresh this invoice, we'll see that our status has now been marked as paid in full. Remember, Zone Payments is using all of our native records that you have today — so the invoice record, right — but we are now telling the system when and where to create that ultimate payment file, right. So we now created a payment file, right — it's sitting in an "Un-deposited" — and I'm going to show you how we actually move this from deposited, ultimately to, um, a deposited account. But the key thing is, we're creating that native NetSuite records, right, so we're facilitating that information from Stripe that's being logged into and directly into the NetSuite application.
Now, coming back, we just talked about kind of the one way of paying, but one of the other ones was, if I can open up a new invoice, we can actually save this customer's payment information. So, if I go back now to our sales transactions — I go to another open invoice — we can then see how, if I print this one again, that maybe I want to be taken to and actually save that credit card information. What this ultimately is going to allow us to do, right, is to auto process going forward, right — really saving your customers time and the headache to, you know, having to type in the credit card or ACH information month over month. Right, by simply updating the payment method on file, right, we're essentially saving it inside of Stripe to be able to do this.
Now, that is a key differentiator — we are saving that information in Stripe; we're not storing that information for you, right — everything is, you know, embedded inside of Stripe, and that's what we hear. All right, so that's how we can accept credit card, or, you know, entering your bank account information is really the same way, and then updating the, um, information on file.
Now, one of the ways that I really like to kind of see this is, you know, maybe I want to be taken to a list of all, um, all of my customers' activity. So, within the customer record, you can actually see all the details for their customers, right — you can see, um, you know, any customer payment profiles or payment authorizations that basically just says, well, is this customer signed up for auto payment. Now, as I dive into my payment link, or my statement payment link, I'm now taken to all of my outstanding invoices. Here I have two open AR balances, and I also have a credit memo that I can fly as well. So this is really giving you the flexibility to dictate where, when, and how do we ultimately want to, you know, make our payments. I like the statement pay — it just gives me a holistic view, as opposed to just looking at one particular, um, invoice record, for example.
Now, we could process this the same exact way we did before, but, you know, one I think that is the main powerhouse of Zone is the ability to pull this information from Stripe when that payout event happens. What are we doing, right? How are we taking that information and passing it over from Stripe to this account? So, for example, on December 6, Stripe had a payout in total of 679 dollars to our bank account, right — so, basically, cleared those accounts from Stripe into, you know, your bank account. But, as you scroll on down within here, you can see here it's actually made up of two charges, and then Stripe, as they are going to do, they're going to take their fee. So the total gross amount — or is total net amount — is 679. You can also see the two relevant transactions that this is made up for.
Now, the way that we design Zone Payments was for easily be able to reconcile all of this information. So what we need to have in place is, uh, basically what we call our payout events — we're going to pass back over when those payout events happen — and we'll see, for 679 dollars, right, that individual payout of that. So, as I dive into this, you can see here we have a payout event, and it's associated with those two individual transactions that we just saw, right. So, because we're constantly linking that information — in this case, I have my external reference ID as my mechanism to ultimately link those together — and we're taking out our fee.
But additionally, we now created our deposit record, and what this is now doing is essentially our GL posting event, right — you can see here we have our payment activities coming through and in our cash back. Now, I'm going to count one by trade, so I always like to see what my debits and credits look like — it's just easier for me to visualize — so you can see here where we're leaving this information from undeposited accounts, posting to our bank service charges, as well as to our on a cash account.
Now, I just kind of walked you through kind of an end-to-end flow of, you know, some of the ways you might use Zone Payments. So we talked about accepting a via credit card over the phone, customers enter in the credit card directly, as well as statement pay, and then auto processing. So it gives you the flexibility. One of the things about Zone Payments is, you know, the ability to kind of set this information up in a really kind of, uh, fast manner.
So, as I look at here, you can see here our two payment profiles. Payment profiles is really — kind of think of them as a one-to-one relationship with your unique Stripe accounts, right. So, if you have multiple Stripe accounts, you're going to have a separate payment profile for each one of them, because it's really going to be represented by those unique keys, right. So, like I said, it takes just, you know, a couple of minutes to get your individual API keys to be able to store that information. But underneath here, right, we are now determining which account do I actually want to pay as well. So, remember, we actually posted to this bank service charge accounts to be able to support that.
Now, I told you we also support SEPA as well — in my U.S. account I don't actually have SEPA kind of turned on, but if you did, SEPA would just show up here as well. And then, from here, we can, like I said, define ultimately what I want my logos and my imaging to be, right — so we can put our company logo in there, and you might put those, you know, those one of the three — or, sorry, five — themes that we kind of went through earlier.
Now, these are kind of the specific payment profiles that we have in place, and that really gives you the flexibility to tailor — maybe, you know, you have a couple different accounts with Stripe, and you want to have different logos maybe representing different subsidiaries and images there. But one of the things that Zone Payments also supports, and within the Preferences tab I wanted to kind of highlight, um, is: what happens if you have a parent-child relationship, right, and maybe the customer does want to, you know, be able to pay on behalf of their children entity, right. So, you know, we're able to support that as well. But here are some of the basic setups that we do allow to happen, right. So maybe — you know, we do kind of talk about this — but maybe we want to allow partial payments — that is an option for you to not allow them, right — so it gives you that option to be able to support that.
But what I really like is the ability to send payment confirmation, right, or any failures as well, right. So we can define what those templates represent, right, so you're automatically going to be alerted: "Hey, your payment went through," right — everything is good — or, actually, there was a payment failure, so they're now actually made aware. And this is really important with those auto pay failures, right, so, you know, I never want to be just left in limbo, and someone turns my Netflix account off — I want to be kind of made aware that someone, you know, my account didn't go through, and my credit card number changed, for example.
I'm just checking the question and answers, um, page here. But with that, I'm going to kick things over back to Ellen real quick, because that kind of concludes the Zone Payments demonstration here.

Thank you so much for that demonstration. I'm going to go ahead and start sharing my screen again.
Okay, so let's go over the few key takeaways. Thank you, Joe, for going over Zone Payments — the personalized, customized experience; different ways of making payments; payment reconciliation; automatic data sync from Stripe. Some expected features that we have coming is the payment method sync as well as prepayments and surcharges. So our development team has been working extremely hard on making Zone Payments a — honestly — an app that can grow with you. So we are excited for the features that are going to be coming.
And then let's go over the implementation. Like I said, this implementation can be done pretty quickly — within minutes, maybe a couple hours. We would install the bundle, and then we would link it with the API key. You would be able to create your payment profiles, link your accounts, customize it, and then you'll be able to collect your payments and reconcile.
I'm going to open up the floor to question answers. John, Joe, Michael — are there any questions answers that we can address?
Joe:
There's a couple of questions, um, that was posted over the chat. This one echo for the rest of the team here: so, in the payment portal, there was an option to select a credit memo — so the customer can select any credits to apply, and will manually apply to the invoice in NetSuite. And that is correct — so any credit memo that does, uh, appear, right — they don't need to be linked to a particular invoice; could be standalone credit memos — that is going to work.
There was a question about storing credit card prior to even paying in information, and now, at the current time, there is an ability to store a credit card information prior to an invoice. So you do have to set that up initially.
And then, for 106, we are currently working on setting up additional payment processor. Currently we're working — um, you know, we just work with Stripe — but we will be adding additional on in the future. Uh, some of the other additional, uh, capabilities that we will be adding on, dread, just as I see some additional questions coming through, is supporting BACS, uh, which is from specific for the UK; Apple Pay and Google Pay. Zone Payments does work across all of the currently accepted, uh, currencies within Stripe, right, so giving you that really — that robust flexibility to set this up, uh, the way that is really going to meet your needs.
Let's see what else we have, um — uh, how do I deliver the payment link to the customer? So, like I kind of showed you during the demo, we — it was embedded within the PDF, right — that is definitely one option. You can embed it inside the PDF — that's just using native NetSuite PDF — ready to be able to do that. But you can also put it on just the body of the email itself, right — it doesn't need to be kind of within the HTML, um, of the PDF; you can actually just embed it inside of there. It could be both the individual payment link, right — so when I remember that first screen that I went to, right, that was actually just recording a specific invoice — but we can also have them actually go to the payment center, and that's really your compilation of all of your outstanding invoices and credit memos that might be, um, compiled for you.
