October brought two updates for accounts payable (AP) teams working in Zone: a redesigned approval matrix in ZoneApprovals and automated vendor remittance in Zone AP Payments.
Here’s what changed and where each update fits into the finance workflow.
Manage approval rules faster with the redesigned ZoneApprovals matrix
We rebuilt the ZoneApprovals approval matrix so large matrices now load and scroll up to 10 times to 50 times faster. The approval logic your team relies on hasn’t changed, so transactions route to approvers exactly as they do today. What changed is the screen you use to build and maintain the matrix. Errors that came up with large location, department or employee lists are resolved, too.
Rules, formerly called chips, now sit in a side drawer, so you can see approvers and criteria together without scrolling left and right. The edit and view mode toggle is gone, so you can select approvers directly in the grid. The update also adds a few ways to work with larger matrices:
- Make a copy. Duplicates a row with every rule, threshold and approver, so you build an approval chain once and change only what differs.
- Live search. Filters the grid by approver, role, group or rule.
- Row identifiers. Show which matrix row was assigned to a transaction, so you can confirm the routing matches what you expected.
- Matrix names and descriptions. Now NetSuite fields, so they appear in list views and saved searches.
Your existing matrices carry over automatically, with names defaulting to the internal ID until you rename them. There's nothing to rebuild and nothing to buy. Production upgrades began in mid October, and sandbox accounts can upgrade to version 1.16.0 to try the new layout first. Watch the ZoneUnplugged walkthrough to see a matrix built from scratch.
CSV import and export for matrices is the next piece of work on the ZoneApprovals roadmap, which should make moving matrices between accounts and setting up complex ones easier.
Send vendor remittance notifications automatically from Zone AP Payments
Zone AP Payments now sends vendors a remittance notification as soon as a payment settles, listing the invoices, amounts and dates it covers. AP clerks can also send or resend a notification on demand from the AP Payment record, which helps when a vendor's email address has changed. For teams that send remittance emails by hand or answer vendor questions about what was paid, that step now happens inside NetSuite.
Admins set it up once at the company level, with optional subsidiary overrides for the sender, reply-to contact, vendor email field and email template. A default HTML template with an invoice breakdown ships ready to use, and admins can swap in their own NetSuite email template or attach a custom PDF remittance advice. A View Remittance button previews the email before it goes out.
Every notification is logged on both the AP Payment and the vendor record, with the sent timestamp and recipient address. A bundled saved search also lists active, payable vendors with no email address on file, so AP teams can fix missing contact details before a payment run.
Sneak peek: November 2026
We have more updates in the works across Zone and will share the details as each one ships. Keep an eye out for “This month at Zone” in November to see what’s new.
