Alrighty. We've got a couple in the room.
We might just wait. Yep.
There we go. Cool.
Good morning, good evening, or good night depending on, where you're joining us from today, and welcome everyone to ZoneUnplugged, Zone's AP automation now with AP intelligence powered by Zoe and your NetSuite data. So we're going going to go ahead and get started, everyone, because we have a lot in store for you today, and I wanna be sure that we get through all of that.
Before we get into it, a couple of very quick introductions, very, very quick from me because I'm not the star of the show, but my name is Jake Dunn. I'm, one of the account executives here at Zone and Co based in APAC, and I've been here for about twelve months now.
I'm joined by Ashley. I'll I'll let Ashley introduce herself very quickly, and then we'll get into it.
Ashlee Nordstrom
01:06 - 01:24
Ah, thank you. So, yes, Ashley.
I'm the senior solution consultant. I've been here with Zone coming up on five years this year, and I'll be walking through the product demonstration and showing you what Zoe has to offer for you today.
Jake Dunne
01:24 - 06:48
Awesome. Thanks for that, Ash.
Before we dive in, just a couple of quick housekeeping notes. For today's session, the chat has been disabled, but you can submit questions at any time using the q and a feature, and we definitely encourage you to do so.
We love interaction, which is why we've carved out a dedicated portion of today's webinar just for q and a. We'll do our best to get through as many questions as we can during this time.
However, if we don't get to them through the call, we'll we'll follow-up afterwards. If you have any account specific or support related questions, feel free to send those through as well, and we'll make sure we get those through to you and the right team, whether it's Zone support or your CSM or your account manager if you have one assigned.
We'll also be running a few polls during the session, so keep an eye out for that to launch as we go in the right panel as well. And lastly, this session is being recorded, so you will receive the recording via email in the next two to three days.
And don't forget, by joining us here today, we have some free money on the table, and who doesn't like free money? So be sure to stay until the end of the call where we'll draw the winner from this round of ZoneUnplugged. We have an exciting lineup for you today on the agenda.
I'll give you all a quick introduction to the full Zone ecosystem of solutions for anyone joining us today that doesn't know all of the things that we do here at Zone, followed by Ash giving us exclusive first look at one of Zone's latest solutions, AP Intelligence, and how that fits into Zone's AP automation solutions. Then we wanna hear from you, so we'll jump into a short q and a, and we'll close out with a few Zone updates, and finally, we'll wrap up by drawing our winner of today's episode of ZoneUnplugged.
Alrighty. Let's go ahead and get started.
Good. For anyone who isn't familiar with Zone yet, we build NetSuite native software that helps finance teams run their operations end to end with AI built into the platform, not bolted on.
We support more than four four and a half thousand customers globally with a team of 250 plus people across three continents and over twelve years focused solely on NetSuite. Our platform covers four areas finance teams live in every day, quote to cash, procure to pay, treasury, and record to report.
That's everything from ZoneBilling handling at any billing model in NetSuite to Zone capture and ZoneApprovals streamlining streamlining vendor bills and approvals, Zone AP payments covering the last mile of vendor payments, ZoneReconcile for cash reconciliation, and solution seven for live Excel reporting straight out of NetSuite.
Sorry. Bear with me.
That wasn't quite on the script. Sorry.
And running underneath all of it is Zoe, our AI layer working inside these products to give you secure enterprise grade AI while NetSuite stays your system of record the whole way through. Before we go further, let's do a quick poll.
Have you tried an AI agent inside your NetSuite workflows yet? Options are yes, already using one. Two, not yet, but curious.
Three, didn't know this was a thing. Alrighty.
Wait a few seconds longer for a couple more results if you haven't submitted. Just do a little bit of time.
Cool. Alright.
Well, it looks like 14% of the room are already using an AI agent inside of their NetSuite workflows, which is great. For the rest of the room, today will be an opportunity to see how you can use, Zoe, and how the AP intelligence from Zoe will become available inside NetSuite for you to be able to utilize.
Alrighty. So we've been shipping these AI agents inside of NetSuite for for months now.
Subscription intelligence was the first one out of the door for ZoneBilling customers, and it's been working inside real accounts on real data ever since. Here's why that matters for AP specifically.
The newest of these agents lives right inside of the Zone Control Center, sitting on top of the AP products you've already been using, so ZoneCapture, ZoneApprovals. Instead of digging through a safe search or waiting on someone to pull a report, you just ask a plain English question about an invoice, a vendor, a stock approval, and you get the right answer straight from your NetSuite data.
The same data you already trust, same permissions, same audit trail. That's the whole value, more efficiency, more control, and you don't give up anything to get it.
NetSuite's still your system of record. This just makes it faster to get the answer out of it.
And you're about to see it live. Ash, take it away.
Ashlee Nordstrom
06:48 - 26:43
Alright. Thank you.
I will. Sorry.
Could we go through screen sharing option that's popping up and wait to make sure that's come across. Okay.
So, obviously, we're logged into my NetSuite account, and we're gonna be coming today to the zone and co tab up the top here. So first off, Zoe is, of course, our agentic AI layer that really sits over the top of our Zone Control Center.
As mentioned, it's going to be able to answer questions or queries or give you reports or statistics not only based on the products you subscribe to, so obviously ZoneCapture, ZoneApprovals, etcetera, but also information from other records that could relate to that process. So querying information on your vendor records or your purchase orders, item receipts, etcetera.
But we'll have a quick browse, of course, through the control center first. So the Zone Control Center is really giving you a central place for your Zone products you currently subscribe to or even give you information on products you could be interested in as well.
So if you don't have them, the tabs will then give you information that then relates to this product and also takes you to, of course, the website with further information on those as well. Today, we are, of course, looking.
Oh, of course, why does Google have this awful habit of when I'm in the middle of trying to do something, it decides I need to sign in? It's very inconvenient. Okay.
So of course looking at the control center as well because Zoe is going to be able to query some of this all this information as well, but of course the Zone Control Center is for my day to day tasks, also some reports, some metrics that then relate to the products that I currently or you currently subscribe to with Zone or looking at. So here we've got of course ZoneCapture and I've got my invoices that have ran through my OCR that are of course sitting in my draft q2 process and save as vendor bills in NetSuite.
I've got some invoices I've already processed and then I've got some approval summary that then relates to those invoices that I have of course processed already this month. Part of the AP workflow, we then do of course have ZoneApprovals.
This dashboard can also relate to more records as ZoneApprovals supports more than just approvals for vendor bills. That dashboard could further out and give me information on journals or sales orders, expense reports, etcetera as well.
We do also support AP payments for vendor bills, so that could be both local currency, and we also support FX payments directly outside of NetSuite, and we do have e invoicing both inbound and outbound. Now I'm just obviously giving you a brief overview because then when we start to look at Zoe, we're going to then ask her questions obviously relevant to these products and then part of that AP workflow as well.
So when we wanna, of course, interact with Zoe, she's down on the bottom right hand corner here with her lovely little icon, and then all of the products I currently have. There's also then of course some pre built or suggested questions and there's also some pre built tools as well.
Of course you can feel free to ask Zoe any of your own questions, plain English questions, you have a query about your vendors or payment terms, etc. But having a look here at the AP intelligence side we've got some pre suggested questions.
So what suppliers could be at risk of late payment this week? Maybe some approval bottlenecks if it's relating to of course my ZoneApprovals process and it will give me all of that information and then of course statistics and some pre built tools behind that as well. And then similar with our other products both for ZoneBilling and, of course, ZoneReconcile.
I'm gonna drag Zoe across and make her a little bit bigger on the screen. Alright.
Zoe also saves all of your chat history as well. So of course I've been playing around with Zoe.
I've already asked her, you know, a fair few questions, ran some of the pre built tools that exist within Zoe as well. So you can always go back and look at previous sessions, maybe download the excel, that Zoe also provides with that.
So let's have a look at the tool for the goods received not invoiced, session that I have ran earlier today. So I just literally press the button, run this for me.
Zoe still might ask then for, sorry, some further context. She might want a date range then that you obviously want to run this up to.
It could be maybe the end of the month or the end of the quarter or giving her then a specific date that you want her to give this information back to you as well. So I've said today's date for the Australian subsidiary.
Now I also didn't probably feed Zoe quite enough because I have multiple Australian subsidiaries so I didn't reference I wanted it for all of them and I didn't reference I wanted it for a specific subsidiary. So she's then confirming of course the data that I still want returned.
So I've then told her specifically what Australian entity I actually want her to run this for as well. Zoe has given me a brief summary up the top of her findings and then we can of course extend out the results of all of the transactions that she's found and Zoe also has an extended analysis as well.
So the results is then all of those records that she's found here. But again, you can download this in much more of a user friendly way.
So you can download this as an excel, which is available down the bottom here as well, which we will do that. The extended analysis as you can see she's then furthering out all of that detail so giving me of course the amounts even possibly some of this relates to my initial NetSuite migration.
That's how old some of this is in my account, as well, which is also why my aging bucket is sitting in that hundred and twenty plus days on my account. And then down the bottom here, she's got then, of course, some suggestions as well, and we can then go and download that full Excel file as well, which we can open.
And then Zoe has, of course, given me all of that information, and you'll notice how quick that was. I haven't had to create a saved search.
I haven't had to play around with reports, etcetera, to be able to call out this data and then have it given to me also in this format as well. So you'll notice there's quite a lot of information that Zoe has then provided on this query and then, of course, all of that records that it relates to as well.
Okay. I don't want to save that.
Okay. We are gonna ask Zoe a live question while we're on today's session as well, but we will just also run through, my approvals as well.
So then looking at, of course, ZoneApprovals, Maybe you want to know some bottlenecks or maybe average days or hours of processing, like maybe what's holding up some of your approvals, maybe who's taking the most amount of time, and maybe then reconsidering your approvals matrix or possibly some extra reminders etc for those employees who are taking a little bit more time as part of the approvals process. Okay, so I've literally just asked Zoe what are my biggest approval bottlenecks.
She's given me all of the records that are currently outstanding for approvals. She's given me average days and also the employees that that then relates to and the extended analysis will then also give me more information on what records etc and I can of course prompt Zoe and maybe ask her some more questions again to drill down further on that first extended analysis that she's given me.
Okay so here again as you can see all of that information that Zoe has given me. So 10 vendor bills here for my colleague Jacob that is currently outstanding, the total value, average days, etcetera.
Of course, I have the highest volume because I'm the one who uses this NetSuite account. So, of course, I'm the one who's top on the list with the highest volume, highest value, records that are currently sitting with someone.
And then down here, again, more of a breakdown on what those records relate to as well. Now I am going to mention that this is a demonstration account.
I really hope your NetSuite figures do not look as horrendous as what mine do. I don't actually have to pay supplies or do month end close or really a lot of those tasks that you guys actually have to do in your day to day jobs.
So a lot of my records tend to just sit here in this account, which is why my figures look absolutely atrocious on days for processing, etcetera, as well. Okay.
But let's then look at asking Zoe a question as well. And it could just be something really simple like you wanna know some missing information on your vendor records, maybe what suppliers do or don't have, I don't know, perhaps trading terms saved on them, etcetera.
So let's ask Zoe, show me vendor records with no value in the email address field. Make sure I have actually spelt correctly to save myself.
Alright. So now Zoe is going to go and check my vendor records and she's going to be searching my email address field and of course then bringing me back all of that information of data that's missing from my vendor records.
This could also be helpful in that if you wanted to do an update of this as well. So you could ask Zoe to give you a few different fields, for her to call and then reference.
She's gonna give that to you, of course, in a saved or CSV Excel that you could then also look at importing that back into NetSuite as well. So having a really fast way of both gathering data that's missing from NetSuite, but Zoe's then giving you a really good template that you could then do an update and then import back into NetSuite once you've fed that missing information back into of course the excel that's been provided.
Zoe's already found all of my vendors that have the email address field that's currently missing from the record. The results tab here then has all of the list of my vendors, of course, that that is missing from, and, again, the extended analysis here also.
So here, the vendors, also inactive vendors, and scrolling down. Sorry.
Scrolling down on this scroll bar. And, again, I can come and download this, Excel, which I have already done earlier today as well.
I don't think I need to download the same question twice, into my downloads folder. But you'll notice she's given me then also a really good layout that I could look at doing an update back into NetSuite.
So I've got the email address field here. I can of course add that information.
I've already got the internal IDs of these records in NetSuite, and you could then map that out and run it as an update, to help, of course, keep your NetSuite data with anything that's missing, being able to add that back in as part of the process as well. Okay.
Alright. What we might do is then.
Also Zoe has then been released again very recently for our ZoneReconcile product as well. So having a look at ZoneReconcile Zoe is now embedded with that product as well.
So obviously we've got here my bank accounts that I need to reconcile previous statements whether that is for bank accounts or maybe even payment service providers. And again there is some pre built questions here as well.
So showing you whether that relates to perhaps unmatched statement lines, if you need to know or query NetSuite balances versus your statement balances, and also looking at improving your matching rate as well. Okay.
But we are more here for AP intelligence. I just did want to also cover off that Zoe is available for our ZoneReconcile product as well.
Okay. Some of our other queries, I guess you could look at asking Zoe, could be again maybe your payment terms.
So whether you're utilizing NetSuite payments or whether you are interested in our Zone AP payments, being able to give you then an analysis on your history of payment versus when your suppliers are actually being paid as well. So Zoe will then, of course, run that analysis on when you pay suppliers versus their due date and then, of course, what is possibly at risk of being a late payment as well.
Now as I mentioned, this account is not actually live, so I tend to not have a lot of warnings. So Zoe's only really given me one supplier that is at risk of late payment this week because I don't really tend to process live transactions and then actually have to pay any of my suppliers.
But she has managed to find one invoice here that's saying it is at risk based on my history of course of being late for payment as well. Other things you can then also utilize Zoe for could be just the day to day functionality of our product as well.
So being able to then enhance how you utilize it and also make possible suggestions on then efficiency for the product, as well. So if we're looking at you know the invoices you are processing that have run through the OCR if you currently subscribe to our product you would probably know that you can create rules that can then help automate the suggestion or coding of particular suppliers or invoices.
Zoe can then also make suggestions based on your history as well. So if you are manually changing an invoice code or you don't have a rule or something set up for a supplier, you could ask Zoe to give you some suggestions to then of course help with that efficiency.
So you could ask Zoe to run that tool to suggest some coding rules. She'll look at what you currently have set up versus then of course what you could be manually coding or giving the system some extra information and really then query all of that and give you a good list to help further that automation out as part of this process as well.
Also then training for the product, Zoe is, of course, linked to our knowledge base as well. So if you have a question about how to do something, Zoe will of course then be able to help and give suggestions and also give you links to our knowledge base articles as well.
Okay, that's probably it, from me with a little overview of of course Zoe. There's many more exciting things to come with Zoe as well.
At the moment Zoe is of course read only, so Zoe's only looking at your NetSuite data and is a read only model. We do of course have an upcoming release of Zoe that is going to have more pre built agents and then Zoe will eventually have write back capabilities.
But of course still following NetSuite user access, role permissions, and they will probably have separate of course opt in functionalities for what you actually want, her to do inside of your NetSuite account as well.
Jake Dunne
26:43 - 27:03
Thanks for that, Ash. It was a a great session.
It looks like there are a few, questions in the q and a, so we might try and roll through those, one by one. So first question from Renee Tranberth is how is GUI different from plugging in cord?
Ashlee Nordstrom
27:03 - 27:51
Okay. How's Zoe different from plugging in Claude? I mean, of course, Zoe also has a lot of context about our products as well.
So, you know, we've kind of built in a lot of context. We have links to our knowledge base articles.
So, really, Zoey's kind of coming with most of that, you know, background knowledge of both NetSuite and, of course, AlZone products also kind of prebuilt and rolled out with her, as well. And Zoe's also included in your subscription, as well.
So she's not any extra cost for you to then, run her inside your NetSuite account. as well.
Jake Dunne
27:51 - 28:02
Yeah. I think that to jump off the back of that in terms of cost as well, that was one of the questions.
The first 100 queries, included at no additional cost. Typically, I think that's on a monthly basis.
So,.
Ashlee Nordstrom
28:02 - 28:03
Yes.
Jake Dunne
28:03 - 28:27
you would be. It'd be unlikely.
I would I would think it would be unlikely that you'd get there, but, in the event that you do, it'd be a conversation that you need to have with your account manager or your account executive at at that stage. There are some more questions, though.
Can Zoe be questioned about records that are not related about AP at all or records not in scope of zoning COATAP?
Ashlee Nordstrom
28:27 - 29:26
That would probably more be a question I would have to check with our, AI team what Zoe. Like, how far she actually goes inside of NetSuite.
Obviously, there's lots of records that can relate to the AP process. So, I mean, today, we were pulling up queries about purchase orders and item receipts, vendor records.
So still very much sitting within the scope of that AP work flow. Do I think Zoe can probably ask you, you know, ask Zoe questions about your depreciation schedule? I would probably assume not.
But then there is also, of course, Oracle, Ask Oracle, AI. So those in conjunction together in your NetSuite account, you're gonna have pretty good AI coverage of being able to even ask Oracle, for those other records or information as well.
Jake Dunne
29:26 - 29:33
Awesome. Next question.
Can Zoe create a vendor statement report?
Ashlee Nordstrom
29:33 - 30:21
As in. I don't quite know the context of that, like a report of what you need, like, to match up to a vendor statement as if they, you know, sent you what they need to pay for the month to then cross reference that.
I'm not quite sure what that question entails exactly. You could definitely ask Zoe lots of questions about your vendors and say, give me all of the bills for this month, etcetera.
She could probably provide a list. You could then, you know, query against the vendor statement you've received from that supplier.
Yes. Sure.
I'm kind of assuming that's where that question was leading to. Maybe.
Jake Dunne
30:21 - 30:36
Right. Yeah.
That's okay. We can also.
Always circle back as well. So, yeah, if we need to cover that off, we can.
Can Zaria reconcile vendor invoices with the vendor statement? That may be. in line with the previous question.
Ashlee Nordstrom
30:36 - 31:18
That one, I'm actually not too sure about. I've never actually tried to drop.
Drag drag and drop the document into Zoe to then say, hey. Cross reference this statement against this particular supplier's account.
So I never like to say yes to something I haven't tested. I've never tried to put documents for comparison into Zoe, to ask her to run that type of query.
So that would probably be something I would take offline and check with product, or maybe that's something that's coming in the future to, of course, drag and drop documents for comparison into Zoe, but that would be a really nice feature, I must say.
Jake Dunne
31:18 - 31:29
Yeah. It'd be great feature.
Some great questions here. So from one from Al, is Zoe available to identify potential scam invoices or patterns?
Ashlee Nordstrom
31:29 - 32:37
Well, Zoe is, of course, running off all of the stuff that is sitting within ZoneCapture as well. So looking at ZoneCapture, of course, there's going to be some, you know, checks first done when the invoice is sent into the system.
So, of course, we're still checking company name, tax registration, address fields, bank details, etcetera when you're first sending those invoices in to NetSuite, and then, of course, we can warn you if any of those details are variant. You could probably query Zoe about, you know, how many have been detected as having variant details you've rejected from the system, like give you more statistics, etcetera.
But on the initial sending, you'll be probably given a fair bit of information that, you know, the supplier's bank details are different or the supplier wasn't found because enough of those details didn't match your records inside of NetSuite, as well.
Jake Dunne
32:37 - 32:50
Beautiful. We want to give users who approve bills through ZoneApprovals the ability to check whether their bills have been paid, but these users will not have access to NetSuite.
Is this possible with Zoe?
Ashlee Nordstrom
32:50 - 33:18
Zoe sits within NetSuite, so you would still need to log in and, of course, then access to our Zone products as well. So our.
Because we're inside of NetSuite, we're still user access and role permission driven. So first, they would need access to NetSuite and then, of course, the right role permissions for our products and, of course, then being able to utilize Zoe as well.
Jake Dunne
33:18 - 33:34
Beautiful. Couple more questions.
Just to clarify, with Zoe, would it be possible to automatically assign default expense or account codes if we provide the coding details without having to manually configure them for each vendor?
Ashlee Nordstrom
33:34 - 34:20
At the moment, Zoe does not have that write back capability. That is coming in an upcoming release.
But you also saw today how I could export, with those vendor records. So, again, you could query Zoe and say give me a list of all suppliers that don't have a default expense account populated in this field.
You could fill that out on the CSV and then still run that as an import on your vendor records, as well. That would be one way of doing it today.
But, again, Zoe will, in the future, have that write back capability, which could then, of course, make this question a possibility as well.
Jake Dunne
34:20 - 35:20
Beautiful. Is Zoe is Zoe available for pay as you go, customers on ZoneCapture? Probably one for me to jump in and answer, on this one.
So, typically, with a few of our our newer, advancements within ZoneCapture and other products, it hasn't been available to pay as you go customers. So we can have a discussion around, upgrading you to, an annual subscription with your account manager.
Alternatively, you'll you'll sort of be. Not limited, but, using the the functionality that does exist within pay as you go.
There may be the option to, purchase Zoe, over the top of that, but, yeah, at this stage, it's only available for the annual subscribers. Can Zoe help identify entry errors?
Ashlee Nordstrom
35:20 - 36:20
Wondering what they mean by entry errors. So maybe invoice, coding where you're manually, I don't know, changing it or adding extra departments, etcetera.
So there is a prebuilt tool, already within Zoe that's then going to run an analysis on what you currently have automated, what you could be manually changing or overriding. Maybe someone has coded an invoice incorrectly and someone else has gone and, of course, amended that or changed it.
So we are looking at all of the audit trails as well. So if you have made adjustments or changes, then, yes, Zoe could help identify those entry errors, and then feed that data.
It would more just be then the question that you're asking on what the error is that you're kind of looking for to then run that comparison on.
Jake Dunne
36:20 - 36:29
Good. That may have been covered, but just to to rehash, can Zoe query or create transaction record as well?
Ashlee Nordstrom
36:29 - 37:26
So as I mentioned, Zoe does not have write back capabilities at the moment. Zoe is read only.
It comes to creating transactions. Generally, of course, ZoneCapture would create your vendor bills.
You would have a separate process for vendor onboarding to create vendors. So even with Writeback, I think it's more Zoe could help update or make adjustments, but I don't think she's going to go in and start creating records itself.
Yeah. I'm I'm not sure what products, of course, vision or road map for Zoe looks like as well.
That could be very different in the future. So, yes, we'd have to probably keep an eye on that space exactly where Zoe is kind of going in the future as well.
Jake Dunne
37:26 - 37:40
Looks like this might be the last question from Nicole. So with the functionality coming to write back, default expense accounts, will that include all segments, class, department, location? The current setup is limiting to just accounts currently.
Ashlee Nordstrom
37:40 - 38:36
So within ZoneCapture itself, I know what you're talking about. It's the default expense account on the vendor record, and then you're finding that limiting.
It probably would help for. After this call, we'll give you a link to the transaction line rules.
So you can give a supplier defaults for class department location. It is just a slightly different way of setting it up than just it's solely living on the vendor record.
So there already is that capability to have those defaults pre apply to vendors. So we'll send you that knowledge base article, for how to set up those defaults and create the rules.
And then even without Zoe's write back capability, which is not live yet, you should still be able to achieve that with the product today already.
Jake Dunne
38:36 - 42:52
Awesome. That might do us some questions.
Just mindful of time. So if there's anything that we haven't gotten back to or we haven't gotten around to today, we'll get back to that, in writing via email after today's call.
We will move on to some exciting updates, however. I'll just take a few moments to share with you all with, or about what's new at Zone.
So for those of you who haven't met Zoe yet, and by now a lot of you probably have, and you have, of course, seen a little bit here today. But for those of you who haven't, this is Zoe.
She's the layer that connects our AI agents to NetSuite. So they're not guessing at your workflows.
They're working with your actual data, your subsidiaries, your billing schedules, and your numbers. Three agents are live right now, free to start.
The subscription intelligent agent inside of ZoneBilling, the AP intelligent agent inside ZoneCapture, which we showed you today, and most recently, the cash intelligence agent inside ZoneReconcile shown here, showing your cash position by bank account and subsidiary, catching unlocked or modified transactions before they become a fraud problem, and flagging the accounts that keep mismatching. With Zone's AI agents, you can ask questions in plain term, get the right answer, or get the answer straight from NetSuite data, and there's no more digging through reports yourself.
